When you request a RACSuite demo, we collect the information you enter in the form: full name, company, email, phone number, message and selected language. The RACSuite Presentation plugin sends the request by email and does not create a separate database record of the submitted form. The hosting, security or email infrastructure may additionally keep technical logs such as IP address, timestamps and user-agent information.
We use demo-request data to answer your enquiry, prepare a presentation or quotation and take steps requested by you before a possible commercial agreement. The principal legal basis is Article 6(1)(b) GDPR. Technical security logs may be processed on the basis of legitimate interests under Article 6(1)(f), and information may be retained where necessary to comply with legal obligations under Article 6(1)(c). Where optional cookies or trackers requiring consent are introduced, they must rely on consent before activation.
Personal data may be accessible only to authorised WorkDesk personnel and service providers necessary for hosting, email delivery, technical support and security, acting under appropriate contractual and confidentiality obligations. Data may also be disclosed to public authorities where required by law.
If a provider processes personal data outside the European Economic Area, the transfer must take place only where a lawful GDPR transfer mechanism and the required safeguards apply. The actual list of providers depends on the hosting, email and website configuration in use.
Demo enquiries that do not lead to an active commercial relationship are normally kept for no longer than 12 months, unless a longer period is necessary for follow-up, legal claims or a legal obligation. If a commercial relationship is established, relevant correspondence may be retained for the period required by the resulting agreement and applicable law. Server and security logs follow the retention rules of the relevant infrastructure provider.
